Cloudbeds vs Mews vs Opera Cloud: A PMS Decision Matrix for 40–150 Room Properties

A side-by-side comparison of the three most-evaluated PMS options for independent hotels. Pricing, integrations, switching cost, and three clear recommendations.

A PMS decision is a 5-year decision, not a 5-month one. The switching cost is real: data migration runs 2–6 weeks, staff retraining another 2–3 weeks, and the integration work with your channel manager and rate shopper can add another 4–8 weeks. The three PMSs below are the most commonly evaluated for independent properties 40–150 rooms.

The decision matrix

Cloudbeds vs Mews vs Opera Cloud — independent property, 40–150 rooms, 2026

Three profiles, three clear recommendations

Profile 1 — Owner-operated indie, 40–80 rooms, US Sunbelt

You have one GM (probably you), one front-desk team, one revenue person who wears another hat. You need a PMS, a channel manager, and a booking engine in one place for a price that doesn't need board approval. You value onboarding speed over feature depth.

Pick: Cloudbeds. Go live in 4–6 weeks including channel integrations. Budget ~$400–$600/month all-in for a 60-room property.

Profile 2 — Contemporary service hotel, 80–150 rooms, urban

You're building a direct-booking brand. You care about mobile check-in, modern guest experience, and data-rich dashboards. Your staff is tech-forward. Your board pays for good tools.

Pick: Mews. Higher sticker price is justified by the ecosystem integrations and the guest-facing polish. Budget $1,200–$2,000/month for a 100-room property including core modules.

Profile 3 — Regional group, 150+ rooms or 5+ properties under one operator

You have a commercial team, an IT resource, and enough volume to justify implementation cost. You need multi-property reporting, custom integrations with your rate shopper / RMS / wholesale partners, and audit-grade controls.

Pick: Opera Cloud. Plan for a 3–5 month implementation with an Oracle certified partner. Budget $2,500–$5,000/month per property on average including OHIP-connected modules.

What switching actually costs

Cost componentTypical range
Data migration (historical bookings, folios, profiles)$3,000–$8,000
Staff retraining (12–15 FTEs × 2–3 days)$4,000–$7,000 in labor
Parallel running (old + new for 2 weeks)$1,500–$3,000
Channel integration re-setup (3–5 OTAs × 3–5 days each)$2,000–$5,000
Third-party integrations re-work (rate shopper, review manager, PMS-connected point-of-sale)$1,500–$4,000
Total, typical$12,000–$27,000

Switching costs from one PMS to another — 60-room indie, illustrative

Amortise over 5 years and the switching cost runs $200–$450/month — which should factor into your monthly total-cost-of-ownership calculation when comparing against the status quo.

Integration-depth note for OTA Systems users

All three PMSs expose read-only reservation APIs that OTA Systems reads from. Integration depth by PMS:

  • Cloudbeds: full reservation + folio ingestion via the Cloudbeds Public API. Real-time updates on booking create / modify / cancel.
  • Mews: reservation ingestion via Mews Connector API. Slightly higher latency on modifications (5–15 minutes vs near-real-time on Cloudbeds).
  • Opera Cloud: via OHIP (Oracle Hospitality Integration Platform). Most robust but requires OHIP to be enabled on your property — usually an add-on to the base Opera Cloud license.
